Senior Office Assistant (SOA)

Primary Purpose of the Position
To assist Returning Officers’ (ROs) in the performance of their duties at the time of an election. SOAs need to support ROs in the management of elections working to a strict timetable and in accordance with the legislative requirements and directions from the NSWEC. SOA support is critical to the success of the RO in achieving work objectives. SOAs undertake tasks associated with staff appointments & training, liaison with the general public and candidates and detailed involvement with early voting, establishment of polling places as well as election day and post election processes.
Key Outcomes/Accountabilities
- Assist in the management of a small to medium size team of clerical staff in the RO office, in order to complete key election tasks.
- Contribute to the management of different work functions within the RO office, in order to achieve work objectives.
- Communicate instructions clearly to staff to ensure tasks are completed in accordance with NSWEC guidelines.
- In conjunction with the RO, undertake components of the polling place manager training.
- Make administrative & resourcing arrangements for voting centres.
Senior Office assistants are engaged on a casual basis and paid the following rates per hour:
Monday to Friday - $29.54
Saturday - $43.17
Sunday - $49.98
Meal money - $21.90 is paid if required to work nine or more hours and where the finish time is 6 pm or later. A 30 minute break is to be taken.
Office Assistant (OA)

Primary Purpose of the Position
As are employed by the Returning Officer (RO) at the time of an election to assist in the successful and professional conduct of the election. OAs are responsible for the provision of administrative and clerical support to the RO and to contribute to the efficient operations of the office throughout the period of the election..
Key Outcomes/Accountabilities
- Provide administrative and clerical support to returning officer.
- Respond to enquiries from the public and other stakeholders and supply general information relating to aspects of the election process.
- Process postal vote certificates.
- Issue pre-poll votes.
- Pack polling place materials for distribution to polling place managers.
- Visit declared Institutions to issue votes.
- Data entry into Election Management Application (EMA).
- Count ballot papers.
- Assistance with packing up the office and associated materials at the completion of the election.
- Be committed to facilitating accessibility requirements of electors with a disability.
- Be aware of and comply with occupational health and safety policy and practices and contribute to the identification and control of occupational health and safety risks and/or hazards in the workplace.
- Maintain an awareness of EEO policies and an understanding of cultural diversity and a commitment to ethical conduct and standards of practice.
Office assistants are engaged on a casual basis and paid the following rates per hour:
Monday to Friday - $20.67
Saturday - $30.20
Sunday - $34.97

Mileage allowance
Where a SOA or OA are requested by the RO to undertake travel for official work related purposes using their vehicle a travel allowance may be paid.
